Since we're about to embark upon our next swap next month, we need to spend some time talking about swap guidelines and how we can make this work better for all of the artists participating.
  • All partners need to agree beforehand if they're going to physically swap or sell their originals
  • All partners need to agree beforehand whether or not it's cool to offer reproductions of the finished product after the swap is complete
  • All partners need to communicate with each other and do their best to complete their swaps on time.

Now, we all screw up from time to time. Deadlines get botched. Unexpected things happen and get in the way. But all of the above is common-sense/ basic respect kinda stuff. And if you don't think you can live up to the rough guidelines above, you need to recuse yourself from participating in future swaps. These are supposed to be events that bring us all together, not drive us apart. And if you owe someone a swap piece (I'm guilty of this myself) why not take the time to make things right and fix it today?

I'm owed so many swaps it's ridiculous and some of those same people keep signing up for more swaps. Is there a way to swap with someone who actually wants to complete the swap?

Maybe checking someone's portfolio to see if they follow through on a swap.  That's not fair..  and if they are new to swaps maybe you can weed out if communication is good .

Sorry Angela.. I have been lucky enough that all my swap partners have followed through. This year I am having to do the better late than never show with my pet swaps.

You cant even tell by looking at the shows or swap lists because 5 people have completed the items and just never mailed them. And another 2-3 who just never completed them. I wouldn't mind so much if it was just 1 or 2 peeps who has something come up but come on........these people are still signing up for shows. I only hope they at least complete their swaps with other people. I have a lot of respect for people like you or Kris who SAY UPFRONT, I'm busy and it may take me a year to get it to you, then the person has a choice if they still want to do it or not. I had one tell me she would split the price of selling it with me, if she could sell it. I said no thank you, I would rather have the art. I have a feeling that it was already been sold, even though it was a swap, and No, I didn't receive money either. I love doing the swaps as I can usually try something new but one item cost me over $100 to mail, as it was heavy and not to someone in the states, not to mention supplies and time of each. I agree with you in saying, It's just Rude and makes me so leary on doing anymore swaps.

Please feel free to contact us privately regarding this issue so we can make sure you get what is owed to you, particularly if you fulfilled your end of the swap and someone else did not.

Due to the seriousness of the issue Angela brought up, we're considering halting all official future swaps starting in 2009. This doesn't mean we won't be doing Ripped Off, the Pet Swap, & the Portrait Swap, but we would be revising the rules (and show titles) so that swapping won't be required or expected, that members swap at their own risk, and that EBSQ would not be responsible for any incompleted swaps.

How do you all feel about that? We're open to other suggestions as well. It's very troubling to see one member be owed 8 swaps.

I have been fairly lucky about swaps compared to Angela. I only had two people who signed up and then I did not get a swap from them. I think if you do a pet or people portrait swap you usually don't want to keep the person's image since it is a personal thing so I would hate to see that it not be an expectation not to trade. I think if someone does not send their swap they should not be allowed to enter any more swap shows. Why should they be allowed?

I did not do swaps this year, or the rip because of not getting swaps back. The swaps I have gotten back have all been fabulous though so maybe I will take some chances this next year because it is such a fun thing when it is recipricol

I had a great swap experience with Kris last year in the rip-off show, and i hope it was good for her too.
This year I signed up to do a rip with someone, then life got in the way and I did not complete it in time. We communicated and I am hoping to get it done next month so I can enter it in the BLTN show. She did ask if it was OK not to swap the actual art, and that suprised me because I thought exchanging pieces was part of the deal.

I guess if both parties are OK with it, it could be an option, but I agree with Heide that in the case of portraits and pets, the whole exercise would be rather meaningless.

I know me and Carolyn signed up to the portrait swap and doing digital entries, and we even agreed to printing the entries and swappin then rather than via email, so we each get a signed copy. I don't understand people not actually swapping. It seems so many people like the swaps, that I think we should find a way to hold those who do not fullfill their side responsible without ruining the fun for everyone. Or just have 2 sign ups, one for people who want to swap, and one for those not commited to swapping.

I also think their should be guidlines for large media/heavy item swaps. I know for me, if someone did a large item, I wouldn't mind covering the shipping to me, I mean, I'd already be getting a free piece of art! If not, then combine the shipping costs on both swaps and at least spiltit, so each person is paying the same ammount for shipping...

I know we are limited to how much we can "enforce" the guidlines, but stricter guidlines that still allow people who enjoy the swaps to participate might be helpful. Maybee not allowing people who have "outstanding swaps" to enter is one way.

Tough decision!

I've only swapped once and was thrilled(got a Dawn original)and I had fun doing my part, but it's quite a committment and lots of time goes into it...so I never did it again....
maybe peeps just don't realize how demanding it can be then get behind...etc

hopefully something can be done to make it fair to all...

I could understand that if it was once, but for the same people to enter over and over again and not swap, thats sad!

I can say that I have had one portrait swap fall through and one rip.

The portrait I mailed off and never heard from her again, I think she quit (but my bad was I didn't report it when it happened.) It was my first one way back with the dinosaurs.

The rip was recent, so I won't go into that other than I decided to try to sell it at Pembroke and when it didn't I gave it to Donna since she liked it so much, and wrote it off.

For me the hardest part is shipping it in a timely manner LOL.

Angela I'm sowee that happened. I can't even begin to think of what was the cause, and frankly don't want to. That is not the usual par for the course. Eight seems so fantastic! How is that even possible......()

I for one plan to keep on swapping the art in the future. It's so customized that it might not really be saleable anyway - and it's tradition.

If anyone is really worried about this why not just do smaller/less expensive things? (just a thought)

Swaps shouldn't be used as a vehicle for free art, with no effort on both parties part. That I do know.

This makes me mad for you Angela.. I have my 2 pet portrait swaps that are now for the Better Late show.. and they are a priority for me and I make sure to keep good contact with my swap'e's on this. (Deb and Tracey!). Its a contract really.. you agree to swap!

I like the idea if that if you don't follow through or aren't responding to emails and such at least with a time frame (both my swap partners know I will be this December with theirs).. then you shouldn't be allowed to swap.

Way back in the beginning of the ripped shows, swapping wasn't as expected as it has become over the last few years. I remember several times when we sold the originals but traded prints, I was home on childcare leave & couldn't afford to not sell the paintings. I don't understand not following through, I could never do that. This year is the first that I've been late with any & I'm hoping to get Tracey's pet swap done for the Better Late than Never show - we've discussed it though & she understands (thanks Tracey!). I also have my wonderful Mr Wiggles portrait that she did for me hanging up in the dining room as a constant reminder - I couldn't look at that painting if I had no intentions of following through.

There is no technological way for us to block members from being able to enter specific shows.  Other than publishing a list of shame (and I will come right out and say that my name would be on this list) there is no way to stop members from participating other than the honor system.

Well maybe in Swap descriptions there needs to be very bold print..  point out that there is an Honor system here that you are expected to follow through and keep in contact with your partner.   Maybe even a mention of the risk that some artists have not followed through.  They will know who they are without mentioning names? That would make me feel guilty if I knew it was me!

IF we do swaps again next year, we will indeed word the prospectii more strongly to make sure that artists know they are making a contract and need to follow through. The other thing we are considering is taking the random element out of the Portrait Swap so members feel more comfortable participating since they have some control over who they're working with. The Portrait Swap has historically been the show that has caused the most "issues" over the years. It's always sad to see a show that was designed to get artists to know each other better has caused enough rifts that some artists have not participated in any shows since and even left EBSQ as a result.

That's the one show that I participated in for swaps and wasn't let down - my partner I was paired with was angela though and I got not one but two portraits from her
